Job Title: Personal Assistant to MDDepartment: Managing DirectorLocation: LondonReports to: Managing DirectorPurpose: To provide dedicated Personal Assistance and administrative support principally to:The Managing Director (MD)The Compliance Officer as part of the MD OfficeAnd during Management visits, provide PA assistance to:CEO and any Senior Executives during their meetings in the London officeCovering the following areas:PA/Secretarial supportAdministrative supportTravel and meeting arrangements for the MD.Appropriate document management and maintenance and update of Departmental recordsAny other tasks as required by the MD and by visiting Senior Management.Main Accountabilities and Responsibilities:To maintain the MD's diary.To act as point of contact for the MD.To arrange meetings and video-conferences for the MD and for visiting Senior Management during their visits.To prepare internal and external correspondence, writing and screening emails for the MD. Arrange catering service and material orders for the department.To make accurate travel and accommodation arrangements for the MD.To validate travel related invoices for correctness and to keep the department's travel spreadsheet up to date.To organise catering for in-house meetings in the Board Room for the MD and for visiting Senior Executives if required.To organise corporate events, such as Annual IP Dinner if required and MD's corporate teambuilding lunches or dinners.To maintain the MD department's stationery supplies, MD filing system, managers weekly attendance records and other documentation ad hoc.To be responsible for coordination of bookings for the Board room and other offices on the Senior Management floor.To process all expenses including monthly reconciliations of corporate business credit card statements for the MD.To ensure completion of compliance for MD's meetings with Public Officials and Relative Persons.
