Duties & Responsibilities Purpose To provide document control and data support services to engineering division on time with high quality by ensuring that the processes are followed. Act as a project interface engineer working at customer site. Functions ESSENTIAL • Create document objects and attach appropriate files. • Engage in document migration projects as required. • Create MDL (Master Documents list) for project as per project requirement. • Download, edit and upload input documents on data management software like PRODUM/ BICYLEC/ CITRIX etc. • Generate the various document control reports as required. • Provide the quality of deliverables and maintain quality records (KPI's). • Ensure the entry in Lesson Learned log after completion of each project. • Prepares process and status reports; applies metrics to analyze and assess efficiencies of current Document Control processes. • Assist Engineers in completing MDLs by creating all placeholders for any new projects. • Manage the preparation, organization, and control of electronic and hard copy documents within the oil and gas industry. • Oversee the numbering, sorting, filing, storing, and retrieval of documents produced by technical teams, projects, or departments. • Verify and maintain the revision status of various documents, including preliminary, approval, construction, erection, and as-built documentation. • Efficiently distribute documents based on their revision status and project requirements. • Print and file hard copies of documents, ensuring accuracy and compliance with established procedures. • Regularly update document files to reflect the latest revisions and changes. • Maintain organized and accessible document repositories for easy retrieval. • Collaborate with relevant teams to facilitate seamless document management processes. • Implement and adhere to document control procedures to ensure compliance with industry standards and quality requirements. • Provide support for audits and inspections by maintaining a well-organized and up-to-date document control system. • Possess a comprehensive understanding of the project schedule, project plan, and the critical importance of timely project deliverables. • Acquire proficiency in using the project-specific interface management system. • Facilitate regular Interface Meetings and produce Minutes of Meeting (MoM) for internal distribution to relevant interface parties. • Maintain close communication with Client EPC contractor, maintenance contractor, and other relevant parties to collect updated project documents. • Share the latest project documents with the remote execution team in a timely manner upon verification. NON-ESSENTIAL • Promote team spirit, open & transparent work culture. • Work towards establishing Operational Excellence. Support Quality Management System implementation and drive Continuous Improvement process. • Participate in regular teleconference meetings with counterparts across global locations. • Carry out additional Document / Data Support /technical jobs as assigned. Safety Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable in order to ensure a safe working environment. Other Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems. Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company. Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment. Qualifications REQUIRED • Bachelor's Degree in an Engineering discipline in a relevant subject (e.g. Mechanical or allied, Materials, Metallurgy Engineering) • Should possess knowledge of the Microsoft Office package, especially of Excel and word. • Previous experience in working as document controller of Integrity Engineering Projects • Previous experience in Oil and gas or similar Industry. DESIRED • Good knowledge of Microsoft Office applications • Desired experience in working on oil and gas or similar industry capital expenditure (CAPEX) projects. Knowledge, Skills, Abilities, and Other Characteristics • Minimum 5 years of relevant experience in relation to the job description • Understanding of QA/QC systems/procedures • Good communicator, both written, verbal, and technical to make complex terminology simple for the benefit of others. • Good ability to develop relationships with client and/or contractor personnel at various levels of seniority and from diverse cultures.
