Position Summary To provide administrative support to the Senior Management Team and wider team as required. Duties & Responsibilities Functions ESSENTIAL Assist with meeting coordination, including booking meeting rooms, arranging catering, organising personal protective equipment (PPE) for visitors, visitor access and passes. New hire support - arranging access to clock-in system for hourly paid staff. Arranging Forth Ports passes, door swipes Arranging monthly leadership safety activities (HSE Joint STOP audits and Joint Life Saving Rule Verification audits) Assisting with arranging employee events Sending expediting reports to suppliers and coordinating responses Raising requisitions Distributing incoming mail and point of contact for external voice messages Arranging taxi bookings Maintaining SDS-R organisational charts Providing administrative support to the senior management team as needed Safety Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable to ensure a safe working environment. Other Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems. Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company. Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment. Supervisory Responsibilities This position has NO direct supervisory responsibilities. Reporting Relationship • Reports to site General Manager.
