Position Summary Provide administrative support to IMDS Management by performing clerical functions such as preparing correspondence and reports, time, and labor reports, receiving visitors, answering telephones, arranging conference calls, scheduling meetings, and maintaining files. Duties & Responsibilities ESSENTIAL Assist with various administrative task to include general clerical duties. PeopleSoft weekly reporting and input of timesheets for managers & employees. Creates and maintains organizational charts and flowcharts. Assist staff with travel arrangements. Process expense reports. Reconciles/maintains company credit card statements. Coordinates and arranges meetings and presentations, prepares agenda, reserves and prepares facilities. Tracking the work flow with all crew members. Defining tasks and milestones to achieve objectives, while ensuring the optimal use of resources to meet those objectives. The ability to function effectively when under pressure and maintain self control in the face of hostility or provocat ion. Qualifications REQUIRED High School diploma or General Education Degree (GED). One (1) to three (3) year related experience in an Administrative Assistant or Clerical environment. Must have a working knowledge of Microsoft Office Programs, Word, and Excel. Critical thinking skills, problem solving, and the ability to follow written and verbal directions. DESIRED Associates degree preferred. Five (5) years related experience in oil and gas industry in Administrative Field. Oracle (PeopleSoft) experience a plus. KNOWLEDGE, SKILLS, ABILITIES, AND OTHER CHARACTERISTICS Builds relationships with people whose assistance, cooperation, and support may be needed. Provides/develops appropriate documentation to track progress of a project. Anticipates and prepares for upcoming events ensuring adequate resources are available. Skill to effectively organize information to meet operational needs and desired outcomes.
