Overview / Responsibilities Wood is currently sourcing for a Materials and Logistics Co-ordinator to join our team in the Melbourne Office. Reporting to the Supply Chain Lead, the successful candidate will be responsible for managing Materials in accordance with company procedures ensuring that all transactions are auditable . This role would be specially focused on Post award activities comprising : desk expediting of purchase orders to ensure they are delivered / ready for collection within project schedule/purchase order terms. To undertake the effective receipt, movement and control of all materials to support the business. To liaise with Supply Chain, user groups, third parties, client and Supply Base & Marine contractors to ensure that all materials and equipment are received, marshalled and shipped in accordance with company procedures and internal controls. Responsibilities Creation of daily expediting reports in materials management system. Daily desk expediting of purchase orders. Understands the supplier delivery obligations form the terms and conditions of purchase. Ability to interpret supplier production plans to identify improvement opportunities and negotiate delivery improvements Updating of materials management system with the expediting status of Purchase Orders. Continually set expediting follow up dates in materials management system. Issue expediting progress reports and update system accordingly. Notifying Senior Expeditor / Supply Chain Manager of any potential schedule slippages. Maintain an audit-able file of all relevant expediting documentation for each purchase order in relevant shared drive / area. Demonstrate commitment to safe working practices. Understands and lives Woods vision, values and behaviours. Understands and works to the Wood Financial Management Framework Accountable for the successful delivery of all materials and logistics activities that they are responsible for, including but not limited to: Allocation, control, issue and marshal-ling of materials between different work locations and supplier in accordance with project requirements and schedule/vessel sailings. Production of shipping documents for all materials movements. Timely updating of procurement system with goods receipts / manifests / shipping documentation. Identification of materials shortages and surplus. Control of Inventory in accordance with required inventory regime and ensuring accuracy thereof by monitoring of warehouse activity, cycle counts and stock checks. Requisitioning and control of small plant and equipment/tooling/consumables. Production of Materials Status reporting to project and client. Coordinating material supply to and performance/delivery of fabrication items. Ensuring maintenance and preservation of materials is undertaken for stored equipment. Attending Project Progress Meetings / Purchase Order Pre-Production Meetings. Liaison with all Project personnel, client representatives, and suppliers where appropriate to resolve materials supply issues. Ensures all Supply Chain activities are carried out in accordance with the project execution plan/schedule and/or contracting strategy, within approved budgets and in line with project processes and procedures. Update the project / procurement status report (PSR) in line with project / client required on site dates and current / estimate lead and delivery times, notifying any delays to supply chain management. Facilitate smooth processing and approval of Invoices for payment in a timely manner. Skills / Qualifications Significant working experience as a Expeditor / Materials Co-ordinator Experience in the oil and Gas sector will be highly preferred The individual should have varied and detailed work experience in the industry and a detailed knowledge of suppliers, commercial evaluations, negotiation and terms & conditions of purchase Advanced Microsoft Office skills Experience with VPRM/ERM (preferred),Oracle.
